This Privacy Policy describes how Cappflow ("we," "us," or "our") collects, uses, and shares information when you visit cappflow.com, contact us, book a call, engage our services, or opt in to SMS test notifications.

Cappflow is an automation consultancy operated by Adrian Cappella. We build done-for-you workflow automation systems for businesses.

Information we collect

We collect information you provide directly and limited technical data when you use our website.

• Contact information — name, email address, phone number, company name, and any details you include when emailing us, booking a call, or filling out a form.
• Client and project information — business context, workflow requirements, and system access details needed to deliver automation services under a separate agreement.
• SMS opt-in information — if you opt in on our SMS opt-in page, we collect your name, work email, phone number, and consent record for internal test notifications only.
• Website usage data — we use Plausible Analytics, a privacy-focused analytics tool that does not use cookies and does not collect personal identifiers. Plausible may record aggregated data such as pages visited, referrer, browser type, and general location (country/region).

How we use your information

• Respond to inquiries and schedule calls
• Deliver, support, and improve our automation services
• Send internal test SMS notifications to opted-in team members during QA of n8n workflows
• Understand website traffic and improve our site
• Comply with legal obligations and protect our rights

We do not use your phone number for marketing. Our toll-free SMS number is used exclusively for internal testing and is not used to message external customers.

SMS communications

If you opt in to receive test SMS messages from Cappflow, we will use your phone number only to send low-volume, non-marketing test notifications related to internal workflow QA. Message and data rates may apply.

How we share information

We do not sell your personal information. We may share information with:

• Service providers — tools we use to operate our business, such as email, scheduling, hosting, analytics (Plausible), and SMS delivery (Twilio), only as needed to provide their services.
• Legal requirements — when required by law, regulation, legal process, or to protect the rights and safety of Cappflow and others.
• Business transfers — in connection with a merger, acquisition, or sale of assets, with notice where required.

Data retention

We retain personal information only as long as needed for the purposes described in this policy, to deliver services, comply with legal obligations, resolve disputes, and enforce agreements. SMS opt-in records are retained to document consent.

We use reasonable technical and organizational measures to protect personal information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Your rights

Depending on where you live, you may have rights to access, correct, delete, or restrict use of your personal information, or to object to certain processing.
